Receipt capture for businesses that do their own books
Send Otto your receipts and bills. He reads every line and suggests a nominal code from how you've coded that supplier before. He suggests a tax rate too, taking account of whether your business is VAT-registered and whether the supplier appears to be. You check each document before it goes into your books.
Same price, same features as a practice
You don't have to predict how many documents you'll send, or choose a plan. Each month, you pay the cheapest tier for the documents you published that month. Documents still waiting for review, duplicates, and anything you discard aren't counted. If you publish nothing in a month, you pay nothing that month.

- No documents, no charge.
- Always the cheapest tier.
Every tier includes every feature, so you have access to everything a practice does. Otto reads the line items on every document as standard. Some receipt capture tools charge a business more than a practice pays for each client.
If your business uses more than one accounting platform, or is made up of more than one business, connect each one. Each is priced on its own, in the same way.
How it works for your own books
There's no app to install. You, and anyone in your business who pays for things, send documents whichever way suits:
- WhatsApp: take a photo of a receipt and send it, after joining through an invite link.
- Email: forward a bill or a receipt to your business's own Capture email address.
- Web page: upload files on your submission page, from any device.
Whoever sends documents doesn't need a Capture account, and you don't register them in advance.
Otto reads each document, matches the supplier to a contact in your books, and suggests a nominal code and tax rate for each line. You check it, change anything that needs it, and click Publish. Nothing reaches your books until you do. Bills reach Xero, FreeAgent, or QuickBooks Online with the original document attached. Capture publishes sales invoices to Xero and FreeAgent only.
To set up, register, then connect your accounting platform. That adds your business as a client in Capture.
Where you get your time back
No line items to key in
Otto reads each line from the document, with its description and amount, so you aren't typing them into your books.
Code suggestions that build with your history
Otto's suggestions draw on the bills you've published through Capture for that supplier, including any changes you made in review. Bills already in your books from before you connected aren't part of that history, so it builds up as you publish. For a supplier you haven't used before, he suggests a code from the document alone.
Missing receipts, without chasing colleagues
On Xero and FreeAgent, Capture lists the bank payments that have no receipt or bill behind them.
- Leave out the payments nobody needs to explain or shouldn't see, such as transfers between your own accounts, or salaries.
- Share the list's link with whoever made the payments. Capture doesn't send it, so you choose when and how.
- They open it on any device, with no login, and answer each payment with a receipt, a note, or both.
- Receipts arrive in your review queue like any other document.
Anyone with the link can see the date, description, amount, and bank account of each payment on the list. You can replace the link or switch the page off at any time. Missing receipts isn't available for QuickBooks Online yet.
The full steps are in the step-by-step guide to missing receipts.
Is it right for you?
Otto Capture suits a business of any size that does its own bookkeeping in Xero, FreeAgent, or QuickBooks Online.
Everything Capture does for practices, it does for your business too. There's more on the Otto Capture page.
Try it on this month's receipts
Register, connect your accounting platform, and send in this month's receipts and bills. Review them with every line already read and a code suggested, then publish.
It's free for 30 days. You add a card when you register. Nothing is charged during the trial, and after it you pay only if you continue to publish.
